What information do we collect?
When you contact us, we process the information you provide, including your name, business email, optional company name and message. The form also sends your chosen language and submission timestamp so that we can handle the request.
When the website is used, hosting infrastructure can process technical data such as IP addresses, request times and security-related information where required for service operation and abuse prevention. The period for keeping this technical data may depend on the operational or legal purpose. Please avoid including passwords, financial account details, medical information or other sensitive personal data in a general enquiry.

Why do we use this information?
We use contact information to read and reply to enquiries, understand your business requirements and assess whether we can help. Our usual legal basis for handling unsolicited B2B enquiries is our legitimate interest in communicating with prospective business clients (Article 6(1)(f) GDPR), subject to a balancing assessment. Where a person requests steps before entering into a contract in their own name, Article 6(1)(b) may apply.
We may also process the minimum necessary technical information to protect the website against misuse and maintain service security on the basis of legitimate interests. If we are required to retain specific information by law, the applicable legal obligation may be a separate legal basis (Article 6(1)(c)). Providing your name, email and message is voluntary, but without these details we generally cannot respond. Company name is optional. Submitting a contact request is not consent to marketing emails.

How is a contact request handled?
Your submission is sent over HTTPS to the website’s PHP endpoint, which validates the request and forwards it to the configured n8n workflow. That workflow processes the information and sends an email notification to office@rontechagency.com for our team to respond.
The workflow is used to route enquiries, not to make decisions about individuals that produce legal or similarly significant effects. Staff decide whether and how to continue a business conversation.

Who can receive the data?
Personal data submitted through a contact request may be handled by people who need it to respond and by service providers that support our website, contact workflow and business email. These may include Hostinger for hosting infrastructure, n8n for the contact workflow, and the configured email delivery and mailbox provider.
The categories of service providers and any relevant subprocessors will be kept up to date in this notice as our systems change. Where processing involves recipients outside the European Economic Area, we will provide information about the country and applicable safeguards, such as an adequacy decision or standard contractual clauses where required. You can request relevant details using the privacy contact above.
06 / 10
How long do we keep enquiries?
Our standard business retention period for contact enquiries and related correspondence is six months after the last meaningful exchange. A different period may apply where a documented legal obligation, active contractual relationship or specific legal claim requires it.
Information forming part of signed contracts, accounting records or legal correspondence may follow separate statutory or contractual retention periods. Technical logs, email archives, workflow execution data and backups may be kept for separate periods needed for their operational, legal or contractual purposes. Six months is our chosen business retention period, not a fixed time limit imposed by the GDPR.

Cookies and analytics
We offer optional Google Analytics 4 (GA4) to understand which pages are visited and whether website contact requests succeed. Google Analytics is not loaded and sends no data before you explicitly accept optional analytics. If you agree, Google may receive usage data such as page paths, device/browser details and approximate location inferred from your connection, and set analytics cookies (typically _ga and _ga_*). We do not intentionally send contact form contents, names or email addresses to GA4. Google processes this data under its applicable terms and privacy safeguards, including any international transfers. You can reject optional analytics or change your choice at any time using Cookie preferences in the footer. Your choice is stored locally in your browser; declining does not affect access to the website. The interactive Solutions page also uses session storage to remember a selected business scenario within the browser tab. No advertising or remarketing tags are configured. For information on Google processing see https://policies.google.com/privacy.

How do we protect information?
We use HTTPS to send contact requests to the website endpoint, validate submissions on the server and apply measures intended to limit invalid or abusive submissions. No online service can guarantee absolute security.

Your rights and complaints
Under applicable data-protection law, you may request access to your personal data, correction, erasure, restriction of processing or portability where applicable. You can object to processing based on legitimate interests. When processing relies on consent, you may withdraw it without affecting processing carried out before withdrawal.
Email office@rontechagency.com and tell us what you need. We may request reasonable information to verify identity before acting on a request. We normally respond within one month, subject to applicable extensions. You may also complain to a supervisory authority, including Estonia’s Andmekaitse Inspektsioon (Data Protection Inspectorate), or an authority in your EU/EEA place of residence or work, where applicable.
